Final examination arrangements for online courses

Important: Students who are enrolled in both online and on-campus courses are required to write all in-person final examinations at the University of ݮƵ, which will be scheduled automatically.The following information is only for students who are taking all online courses.


Step one: Review or make your final examination arrangements

Check the course outline in LEARN or contact your instructor to confirm if your course has an in-person final examination.

  • On-campus final examination dates: Friday, August 8 at 4 p.m. E.T. and Saturday, August 9 at 9 a.m., 4 p.m., and 7:30 p.m. E.T.
  • Externally written examination dates: Thursday, August 7 to Sunday, August 10 (local time).

If you are taking an in-person final examination on the ݮƵ campus or at an examination centre, review thepre-examination preparation and entry requirements and protocolsfound on the final examinations web page.

A) Write on-campus: no cost

  • The Office of the Registrar's final examination schedule will be available on May 30, and your personal final examination schedule (with exact times, locations and rooms) will be posted in in July. If you are going to write on-campus, you still need to let the Examinations Services Office know.

B) Write externally:

If you are away from ݮƵ, you can write at an approved examination centre or with an approved proctor. The deadline to submit your examination centre and proctor request is June 20 at 3 p.m. E.T.

Write at an approved examination centre

  • You are responsible to reach out to the examination centre to book a day and a time to write as well as for paying any associated fees for writing there,including any charges to cancel or reschedule your final examination(s). These fees will not be reimbursed by the University.
  • All examinations written at an examination centre must be written between August 7 and 10 at the agreed upon time by you and the examination centre.

Write with a proctor

If you are unable to write on-campus or at an examination centre, you must arrange to write with a proctor.

  • You are responsible to reach out to the proctor to book a day and a time to write as well as for paying any associated fees for writing there,including any charges to cancel or reschedule your final examination(s). These fees will not be reimbursed by the University.
  • Proctored final examinations must be written between August 7 and a 10 at a time and location agreed upon by you and the proctor.
  • Proctors must be able to download and print the final examination, and then upload a digital copy after it is written.

Step two: Let the Examination Services Office know your arrangements

  1. to select your final examination location: "UݮƵ (Main Campus)" or "External" (if you are writing at an examination centre or with a proctor). Once you have made your selection, if you choose to write in ݮƵ, no further action is required unless you need academic accommodations.
  2. If you have chosen to write externally:
    • Once arrangements are made, sign in to the Final Examinations Arrangements Form (link available from Odyssey) and provide the necessary details to ݮƵ.
    • After the examination centre or proctor has been vetted by the Examinations Services office, your selection will be made visible within Odyssey.

Frequently asked questions for externally written examinations

Who can write online course final examinations externally?

Students who are enrolled only in online courses are considered “remote students” and are eligible to write their final examinations externally.

What are the new responsibilities for students writing final examinations externally?

If you need to write externally at an examination centre or with a proctor, beginning in spring 2025, your responsibilities are as follows:

  • Booking:To reach out to the examination centre/proctor to book a day and time to write each of your final examinations.
  • Fees:To handle and pay any expenses incurred to write at the examination centre/with a proctor.Note:Some examination centres/proctors may also charge a fee if you cancel or reschedule your final examination. The University of ݮƵ does not reimburse any incurred expenses.

What is the difference between an approved examination centre and a proctor and how do I know which one to choose?

Examination centres: The pre-approved examination centres are located in post-secondary institutions in Ontario that the University of ݮƵ has a pre-existing relationship with. They are set up as formal testing centres. The experience of writing at one of these locations is likely to be similar to writing on campus where you are writing alongside other students and are supervised by a team of proctors. If you decide to write at an approved examination centre, you need to notify ݮƵ’s Examination Services office where you are writing (by submitting the Final Examinations Arrangements Form – link available from Odyssey) and then book your final examination(s) with the centre directly.

Proctor: An individual proctor is someone who meets the University’s requirements to be a proctor. You give your proctor’s information to ݮƵ’s Examination Services office, who then contact’s the proctor directly to request additional information to verify their identity and ensure they meet the criteria. This vetting process can take several weeks and there is a risk that the proctor may not be approved if they do not meet the criteria.

Once the proctor is approved, you will arrange the date, time, and location for writing the your final examination(s). The experience of writing the final examination can vary greatly depending on these details.

Fees: Fees for each will vary depending on location, examination duration, and other factors. You are responsible for paying all associated fees. The University of ݮƵ does not reimburse any incurred expenses.

What happens if I am ill and can't write my examination?

You must follow the instructions provided in your course to notify your instructor and/or faculty. TheVerification of Illness form (VIF) and instructionsare on the Current student website. Review the ݮƵAcademic Considerations sectionin the Undergraduate Academic Calendar for more details. Adjustment of due dates or deferrals of final examinations are not guaranteed. Your instructor will use the documentation you provide among all information available to them to determine whether an academic consideration is warranted, and will work with you to reschedule the final examination if necessary.

Why am I responsible for making my own external examination arrangements and paying the associated fees?

We understand that additional costs can be challenging. However, due to ongoing budget constraints and in line with standard practices across the sector, students are now responsible for covering the fees associated with external proctors and examination centres.

How do I find an approved examination centre or a proctor?

You can find a list of approved examination centres in the "Writing externally" section on this web page.

If those options do not work for you, the quickest way to locate a proctor in your area is toconduct an internet search for “proctors near me.”Your search results will yield official testing centres at colleges, universities, libraries, and learning centres. You can also search for local libraries or religious institutions.

How long will it take for the Examination Services Office to vet my selection and update Odyssey?

Once your selection has been approved, you will see it appear in Odyssey at .

If you selected a pre-approved examination centre, your selection in Odyssey should appear within 3–5 business days.

If you selected writing with a proctor, it can take a little longer (especially for proctors outside of North America). After you submit the information, the Examination Services office reaches out to the proctor for additional information that helps to ensure they meet the required criteria. It is helpful for you to remind your proctor to provide the requested information as soon as possible.

The speed at which the proctor provides the information, and the quality of the information provided, both directly affect processing times.

If your proctor does not meet the criteria, you will receive direct messaging from ݮƵ’s Examination Services Office.

I have booked my final examination at an approved Centre or with a proctor. What do I do now?

No matter where you choose to write your in-person final examination, you must let ݮƵ's Examinations Services office know your arrangements to ensure your final examination(s) is at your desired location.

  1. and select an examination location: "External" (because you are writing at an examination centre or with a proctor).
  2. Contact your desired examination centre or proctor to book a time to write your final examination(s); find out what are their testing fees you will need to pay.
  3. Once arrangements are made, sign in to the Final Examinations Arrangements Form (link available in Odyssey) and provide the necessary details to ݮƵ.
  4. After the examination centre or proctor has been vetted by the Examinations Services office, your selection will be made visible within Odyssey.

I am registered with AccessAbility Services, can I still write externally and receive my accommodations?

I am enrolled in on-campus courses. Why can’t I write my online course final examinations externally?

Students who are enrolled in one or more on-campus course are considered “on-campus students” and must write all in-person final examinations at the University of ݮƵ. If you are unable to write your in-person final examination for your online course in ݮƵ, you must follow the instructions provided in your course outline to notify your instructor and/or faculty. I did not submit the Final Examinations Arrangements Form by the deadline. Can I still write my examinations externally?

Unfortunately, your final examinations are now scheduled in ݮƵ and the option to write externally no longer exists.
