General information
When theÌýthesis is nearing completion both the student and supervisor must reviewÌýthe PhD thesis examination regulations. TheÌýsupervisor(s) must ensure the meets the requirementsÌýlisted in the regulations.Ìý
There are several resources available to students preparing their dissertation:
- Graduate Studies and Postdoctoral Affairs (GSPA) hasÌýinformation on how to prepareÌý²¹²Ô»åÌýsubmit your thesis. Your thesis formatting must conform to the standards established by the University of À¶Ý®ÊÓÆµ and Library and Archives Canada. Microsoft Word and LaTeX templates are available from the library.Ìý
- The Writing and CommunicationsÌýCentreÌýprovides writing support and a healthy space to keep you on track with your thesis.
- The LibraryÌýwebsiteÌýincludes more information regardingÌýUWSpace and copyright issues.
- Information Systems & Technology (IST) thesis guideÌýcontainsÌýeverything you need to know aboutÌýelectronic theses.
Selecting your defence date
When scheduling your defence, pay attention to deadlines found on the Graduate Studies Academic Calendar. In particular, checkÌýfee refund deadlines and convocation dates. Remember, you may need a month or more to finish revisions. Also pay attention to University closures, especially around holidays as these will add to MGO'sÌýprocessing time for your approvals and completion documents.Ìý
Blocked dates and holidays
There are blocked periods for defences each term.ÌýPhD thesis defences may not be held during this period however UWSpaceÌýfinal uploads are acceptable. The blocked periods are as follows:
- Spring 2024: Monday, August 12th, 2024Ìý- Monday, September 2nd, 2024
- Fall 2024: Monday, December 9th, 2024 - Monday, January 6th, 2025
- Winter 2025: Monday, April 14th, 2025 - Monday, May 5th, 2025
- Spring 2025: Monday, August 18th, 2025 - Monday, September 8th, 2025

The blocked period is necessary and is supported by the Graduate Studies and Postdoctoral Affairs officeÌýas a result of limited faculty member availabilityÌýto attend and chair examinations during this time period.
In exceptional cases where committee members and/or external examinersÌýare available only during the blocked period and the examination is required to be completed by the end of the term, the supervisor must contact the Mathematics Graduate Office. All requests to hold an examination during the blocked period must be approved by the Associate Dean of Graduate Studies before they can be scheduled.
Defence format
In the Faculty of Mathematics there are currently three formatsÌýfor conducting PhD defenses: in person, hybrid, or remote. Guidelines for hybrid and remote defences can be found on the GSPA participation through electronic media page.
Hybrid and remote defences conducted via a teleconferencing platform have different levels of technological support depending on the platform chosen:
- Microsoft Teams with the help of MFCF/CSCF
- Other platforms, like ZOOM or WebEx. In this case, it is the supervisor’s responsibility to set up a virtual meeting and invite all participants. If using an uncommon platform the supervisor must also ensure that the chair and all members of the committee, including the external examiner, are familiar with the platform and the procedure. Under no circumstances should the student create the virtual meeting.Ìý
Many departments have a that supervisors may book for hybrid defences. Please contact your graduate coordinator for additional information.Ìý
