N: drive migration to OneDrive (Mike Cocker, Lisa Tomalty)

  • Mike and LisaÌýgave a presentation and demo on the N: drive to OneDrive migration process

Comments and discussion

  • What is the rationale for disabling Windows offline files?
    • Offline files need to be disabled in order to copy N: drive files to OneDrive; leaving offline files enabled results in sync error messages
    • Most users are not using offline files
    • Windows offline files are not the same as OneDrive files on demand
  • If a user has multiple managed Windows computers, theÌýOneDrive migration installation needs to be done on each machine
    • Copying files from N: drive to OneDrive only needs to be done once
  • For users that migrate, how long will content be retained on N: drive?Ìý
    • Files are not being removed from N: drive at this time; a user's N: drive will become read-only once they complete the migration
  • No timeline yet on when N: drives in labs will be replaced with OneDrive
  • What are the migration steps for users who do not want to move any files from their N: drive to OneDrive?
    • Users will need to create folders called Documents, Pictures, and Desktop on their OneDrive before running the migration script; these steps are outlined in the
  • For instructors that do the migration, how can they access their files on podium computers?Ìý
    • Currently instructors can log in to any podium computer using their NEXUS credentials and access files from their N: drive, does this process stay relatively the same for OneDrive?
    • Faculty IT may want to look into configuring Windows 10 Storage Sense settings
      • This is controlled by Group Policy Objects (GPOs)
      • OneDrive content can be enabled to be online only Never, after 1 day, after 365 days, etc.Ìý
      • Alternatively, instructors can also log in toÌýhttps://portal.office.com/ to access their files on any podium computer

  • CTSC members reviewed the proposal and made minor suggestions to the wording in the Implementation section of the proposal

Follow up: Teams retention policy (Steven Bourque)

  • Re:ÌýRobyn's request to access the existing Teams retention policy document
  • There is no Teams retention policy published at the moment, Legal and Immigration Services are currently reviewing the draft policy that was shared with CTSC via email
  • UBC announced a similar retention policy to the draft policy being reviewed

Engineering, Erick

  • Is it possible to have 2FA enabled for remote desktop instead of having users connectÌýthrough VPN?Ìý
    • Clients dislike having to connect to the VPN in order to connect to remote desktopÌýÌý
    • Connecting through VPN is more 'risky' than authenticating through 2FA
    • Mike Cocker may have suggestions on how to create a workstation policy using 2FA
    • Computers in Police Services and potentially Finance and HR require 2FA to log inÌý
    • This is doable from a Network Services standpoint as long as Security is in agreeance with removing the block on the requested subnets
      • This would be done on a subnet level rather than a single IP level
  • Worked with Jason Testart and Mike Patterson to get a list of remote accessible computers in EngineeringÌý
    • Converted mostÌýusers accessing these remote machines to use SSH keys or 2FA
  • Any updates on the status of the campus-wide Zoom license?Ìý
    • Steve to reach out to Andrea for an update; the license details are likely still being negotiated
  • Any update on the telephony project?Ìý
    • IST will be heading in the direction of a hybrid or cloud-hosted soft phone environment
      • Soft phones will not necessarily be the Teams client but the chosen client will be able to integrate with Teams
      • Other considerations that will be looked at include phone billing changes, auto-attendant requirements, hard line requirements for physical on-prem phones, etc.Ìý
    • Aiming to have an RFP out this Fall
    • More information to be provided to CTSC when available

WUSA, Pratik

  • Is there a plan to replace LEADS with Portal?Ìý
    • Steve to follow up with Greg Smith

Health, Trevor

  • Experienced some issues with installing Yealink in meeting rooms for Skype/Teams conference phones
    • There are two similar models but one does not seem to work
  • TIS has been focusing on migrating users to Skype for Business but will start to prioritize conference rooms in order to prepare for the Fall term
  • WUSA uses Yealink for Skype for Business with generic accounts; used this set up for over 2 years with no issues
