Hosting Visitors
- You may invite collaborators to visit the WCA.
- The WCA has funding available for visitors whose work will be of interest to members of the WCA, particularly if it is of broad interest.  Typically, the WCA covers the costs of flights. Please discuss with Will before inviting anybody.
- You may also use your own research expense money towards the costs of hosting a visitor.
- We encourage visitors to give a seminar or speak at a journal club while they are here.
- If you would like to invite anybody (even a Canadian citizen) from outside of Canada for three days or longer, please speak with Carolyn to ensure the proper procedures are followed and paperwork is completed. If it is determined that a work permit is required, additional paperwork will be necessary; it is imperative that this be completed before your visitor arrives.

Non-compliance with Immigration Regulations (i.e. with an invited non-Canadian visitor/student/ employee here on campus who has inappropriate immigration documentation for the purpose of their invited visit) may result in a substantial fine (up to $50,000 per infraction) and a ban imposed on the entire University from hiring or re-hiring any non-Canadians for two years.

Inviting and Hosting Seminar Speakers
- You can suggest a speaker for a WCA astroseminar at any time. Please contact Carolyn with your suggestion. Occasionally, we put out a call for astroseminar speaker suggestions for the next term; this is a great time to let us know about anyone you think would be an interesting astroseminar speaker!
- Astroseminars are usually held in the Fall (September-December) and Winter (January-April) terms but we also host occasional astroseminars outside of these times.
- We cover the cost of transport, one night's accommodation and dinner.
- If you suggest an astroseminar speaker you should expect to host their visit:
- Introduce the speaker at their seminar and chair the session.
- Arrange times for people to meet with the speaker during the day.
- Take the speaker out for dinner, if they stay until the evening. Please see Expenses for information about claiming for a hospitality meal.
- Carolyn can help arrange accommodation and other logistics.Â
