Call to order

Meeting called to order at 5:54 p.m. by chair, Viv Hoang.

Motioned by Director D'Angelo, seconded by VP Liu. Motion carried unanimously.

Motioned by VP Marsili, seconded by Representative Shaik. Motion carried unanimously.


Reports of officers

President – Viv Hoang

  • President, Hoang started off the meeting by welcoming the new JOEYs.

  • President, Hoang reported on housekeeping items. Reminder that no garbage should be left in the AHSUM office or Fishbowl. Trash, especially behind the couch, must be cleaned up. Additionally, the fishbowl should only be booked within hours.

  • President, Hoang reminded execs to regularly check ‘Action Items’ in the AHSUM SharePoint for tasks assigned to individuals and/or the entire team. The progress tab within each task should be updated accordingly and execs should add comments if necessary.

  • President, Hoang reported on Warm up Wednesdays. Drink quantities will be changed and be maximized based on the budget. Hot chocolate quantity will be increased and tea will be decreased. The event will be held in EXP instead of the AHSUM lounge this Wednesday. Director D’Angelo should update the location on all promos for the event.

  • President, Hoang reported on Faculty of Health sweaters. Sales must be increased to reach the minimum numbers required to begin production. Posters will be released to promote the sales. Director D’Angelo should contact the department Instagram accounts to encourage them to post promotions. It should be emphasized that the sweaters will not be sold in the AHSUM Office. As an alternative last option, AHSUM could buy several sweaters and sell them in office. Concerns about prices were brought up.

Vice president, events – Tabia Chowdhury

  • VP, Chowdhury reported on the Valentines movie night. 55 people have signed up. The executives helping on the team were decided. Mohammed clarified that the Crave streaming form needs to be filled out for credentials to use the streaming service for the movie.
  • VP, Chowdhury reported on the Valentines flower event. The flowers will be picked up from Sobeys the morning of the event. A lot of execs have already signed up, and Ziyad volunteered to help clean up at 3.
  • VP, Chowdhury reported on the Valentines candy bag event. The notes written by RehabSci were not delivered on time and will be added day of if delivered by then. Students are required to say a pick-up line in order to receive the goodie bags. None of the candies contain peanuts.
  • VP, Chowdhury reported on future events. The surprise lady glaze event will happen on the 24th. 175 donuts will be bought, and media should only be posted on the morning of the 24th. WUSA Event form will be created by a member of the AHSUM events team.
  • VP, Chowdhury reported on Paint and Sip, terracotta plant pot painting. AHSUM is responsible for arranging bubble tea for the event. Budget adjustment is required to reflect this as AHSUM will not be paying for the art supplies. VP, Chowdhury will need to contact Cha Time. VP, Chowdhury and President, Hoang will meet with Julian after reading week to discuss further details.

Vice president, internal affairs – Hanna Kang

  • VP, Kang introduced new JOEYs: Ziyad Khan, Cesar Ocampo, and Tanisha Chowdhury.

Vice president, finance – Vicky Liu

  • VP, Liu reported on the budget. Pearler beads has been switched out for the Welcome back Lady Glaze event. The snack restock budget has increased. Bites and Insights will be added to the budget.

Vice president, education – Angelica Marsili

  • VP, Marsili reported on SWEP. The date has been set for the 4th of March and catering will Dominos pizza. Five panelists will be selected for the event. Representatives are reminded to promote the event on the Learn pages. Promo for SWEP should be up as soon as possible.
  • VP, Marsili reported on Bites and Insights. Invites have been sent to last term’s list and based on that further action will be decided.

Reports of directors

Communications and promotions 

  • Director, D’Angelo reported on Content Calendar. Posting dates will be switched based on event changes and updated in the SharePoint calendar.

  • The Food for Connection event details were finalized. The event must be done in March or April to meet funding criteria. A meeting will be arranged between the event organizer and VP Liu to discuss budgeting strategies.

  • Director, Akkerman reported no new updates for services.

Equity, diversity, and inclusion (EDI) 

  • Director, Patel reported on EDI.

Health Sciences

  • No report.

Kinesiology

  • No report.

Public Health

  • Director, Jayaganesha reported on SPHS. The department aims to connect students with profs more often. They are promoting a networking project. A link could be added to the AHSUM page for the prof profile. Details will be finalized during the next department meeting.

Recreation and Leisure Studies

  • No report.

Other business

  • SRO, DeSouza discussed grad formal. Expenses for the event will be covered by ticket sales and AHSUM. The budget allocated is $5500. The event will be held on April 5th at St. George Banquet Hall. Ticket will be sold in the AHSUM office and tracked within the ASHUM budget. Early bird tickets will be sold for ~$40. After that period tickets and guests tickets will be $45.
